This Refund Policy is part of our Terms and Conditions. By placing an order with Get My Passports, you agree to the rules below.
Get My Passports is a private company, not affiliated with any government agency. You always have the option to apply directly through the U.S. Department of State, the relevant foreign consulate, or another official channel. Our service fee is separate from government application, filing, and photo fees.
Our Position
We are a service business. The moment you pay, we begin work: opening your case, reviewing your documents, generating shipping labels, preparing your application, and coordinating with consulate partners, couriers, and government-agency slot reservations. Refunds are based on the work performed and the costs already incurred, not on whether you change your mind or whether the government ultimately approves your application.
Our refund framework has three stages. The trigger for each stage depends on the type of service you purchased (visa or passport).

The detailed rules for each stage and product are below.
2. Travel Visa Services
2.1. Stage 1: Accidental order (no work started)
If you placed your visa order in error and we have not yet started substantive work, you will receive a full refund of fees paid to Get My Passports, less a 5% payment-processing fee (minimum $15). This fee covers non-recoverable credit card processor fees on the original transaction.
“No work started” means:
a. We have not generated or sent your inbound FedEx shipping label, and b. We have not drafted any portion of your visa application, and c. We have not received your physical documents, and d. We have not coordinated with a consulate partner on your behalf.
If any of those have occurred, your order has moved to Stage 2.
2.2. Stage 2: Work started (not yet submitted to the consulate)
If we have started substantive work on your visa case but have not yet submitted your application to the consulate, we will refund the Service Fee minus a $150 cancellation fee and minus any out-of-pocket costs already incurred (for example, partner pre-coordination fees, photo edits, or third-party document services).
The $150 covers the work we have already performed: intake review, application drafting, document review, label generation, and case coordination.
2.3. Stage 3: Submitted to the consulate
Once your visa application has been submitted to the consulate or embassy, no refund is available. At this point the consulate fee has been paid and is unrecoverable, our courier and partner work is complete, and the consulate has accepted our submission slot. There is no work to undo and no money to return.
Travel visas are destination- and applicant-specific. They cannot be credited or transferred to a future trip or another person.
3. U.S. Passport Services
3.1. Stage 1: Accidental order (within 24 hours, not under manifest, no work started)
If you placed your passport order in error within the past 24 hours (1 business day), your order is not under manifest, and we have not started substantive work, you will receive a full refund of fees paid to Get My Passports, less a 5% payment-processing fee (minimum $15).
“Not under manifest” means we have not yet reserved a limited-capacity slot at the U.S. Passport Agency on your behalf.
“No work started” means the same conditions as visa Stage 1 (no label, no drafted application, no documents received, no partner coordination).
3.2. Stage 2: Work started, not yet under manifest or submitted
This stage applies primarily to walk-in or non-expedited passport orders, where we begin processing before any agency slot reservation. If we have started work but not yet manifested your order or submitted to the agency, we will refund the Service Fee minus a $150 cancellation fee and minus any out-of-pocket costs already incurred.
For expedited passport orders, the move from Stage 1 to Stage 3 often happens quickly because slot reservations can occur within hours of order placement. There may not be a Stage 2 window.
3.3. Stage 3: Under manifest or submitted to the U.S. Passport Agency
Once your order is “under manifest” — meaning we have reserved a limited-capacity slot at the U.S. Passport Agency or submitted your application — no cash refund is available. The slot is committed and the work is complete or in progress.
However, your order remains active and credited to your account for 12 months from the original purchase date. You may:
a. Process the order at any time within that 12-month period (for example, if you reschedule travel), or b. Transfer the order to a friend or family member at no additional cost. The new applicant is responsible for any government fees applicable to their case.
4. Emergency / Same-Day Service
Emergency or same-day services require us to deploy resources and reserve consulate or agency slots within hours of receiving your order. Once placed, emergency orders move directly to Stage 3 and are not eligible for refunds. A passport-side emergency order does retain the 12-month transferable credit; a visa-side emergency order does not.
5. Always Non-Refundable Charges
Regardless of refund stage, the following are always non-refundable:
a. Government / consulate fees (paid to the issuing authority and non-refundable by law under 22 C.F.R. § 22 and equivalent foreign regulations).
b. Photography, photo editing, and handling fees, once an order has been placed.
c. Shipping and handling fees paid to FedEx, UPS, or other third-party couriers.
d. Out-of-pocket expenses we have already incurred on your behalf (additional courier runs, replacement photos, document authentication fees, etc.).
e. Rush surcharges once rush work has been performed (typically the same day rush was added).
f. Consulate or agency partner fees for work that has already begun or been completed.
6. Circumstances Where No Refund Will Be Issued
By accepting these terms, you agree that refunds are not available for circumstances outside our control, including but not limited to:
a. Flight cancellations, missed flights, flight delays, or other airline-driven itinerary changes b. Delays caused by FedEx, UPS, USPS, or any other shipping or courier service c. Changes in government policy, regulations, or requirements (including new paperwork requests, biometric requirements, additional documentation, or fee changes) d. Consulate or embassy delays, closures, system outages, portal-clearance issues, or security reviews e. Lost, stolen, or misplaced travel tickets or itineraries f. Incomplete or inaccurate information that you provided g. Government denial, rejection, suspension, or revocation of your application for reasons not caused by our error h. Your failure to ship your passport, respond to our requests, or complete a government-required step on time i. Change of mind, change of travel plans, or change in personal circumstances after the applicable cancellation window has closed
7. Visa Type Outcome Refunds
If you paid for a longer-term or higher-grade visa but the consulate granted you a shorter-term or lower-grade visa, we will refund the difference in the government fee only. The Service Fee, shipping costs, and out-of-pocket expenses are not refundable on visa-type outcomes since our work was the same.
8. Service Failure on Our End
If, after accepting your case and taking payment, we fail to submit your application to the consulate or government agency due to our error (we missed a deadline, lost your documents, sent your application to the wrong consulate, or otherwise failed to perform), we will:
a. Return your documents to you promptly via overnight FedEx at our expense b. Refund your Service Fee in full c. Retain only the consulate or agency fee if already paid to the government and unrecoverable, and any shipping costs already incurred
This is the only scenario in which a Service Fee refund is automatically issued from Stage 3.
9. Material Returns
If you cancel and have received physical materials from us (shipping labels, application kits, etc.), you must return them or destroy them at our request. Failure to do so may affect your refund eligibility.
10. Significant Delays from Global Events
We are not liable for delays resulting from global events outside our control, including pandemics, natural disasters, government shutdowns, consulate or embassy closures, war, civil unrest, or similar Force Majeure events. We will use commercially reasonable efforts to mitigate these delays, but we provide no guarantee of service times during such events, and these delays are not a basis for a refund.
11. Goodwill Refunds (At Our Sole Discretion)
From time to time, we may choose to issue a partial refund beyond what this policy requires, as a one-time goodwill gesture, in cases where we believe it is the right thing to do. Goodwill refunds are entirely at our sole discretion. They do not modify this policy, do not create a precedent for any future case, and do not waive any of our rights under these Terms or this Policy.
12. How to Request a Refund
Email team@getmypassports.com with the subject line “Refund Request - [Your Name]”.
Include your order details, the reason for your request, and any supporting documentation.
Our billing office operates during standard business hours, Central Time. We are closed on weekends and U.S. federal holidays.
We will respond within 2 business days with our decision and, if applicable, the refund amount and timeline.
We may require a completed Refund Request Form (RRF), which we will send to the email address on file. A request for this form does not guarantee a refund will be granted.
13. Processing of Approved Refunds
a. Refunds are issued to the original payment method. We do not refund to a different card, account, or person without verified authorization. b. Refunds typically take 3 to 10 business days to appear on your statement, depending on your bank. c. For payments made via ACH, wire, or check, refunds may be issued by check to the original payer.
14. Maximum Liability
Our maximum liability under this Policy, in any refund scenario, is limited to the Service Fee actually paid to and collected by us. We are not liable for direct, indirect, or consequential damages, including missed travel, canceled bookings, or other costs.
15. Chargebacks
Filing a chargeback with your bank or card issuer before contacting us and giving us a reasonable opportunity to resolve your concern is a breach of our Terms and Conditions. We will dispute chargebacks filed without prior contact and may pursue collection of fees, costs, and damages associated with the dispute.
16. Dispute Resolution and Governing Law
a. This Refund Policy is governed by the laws of the State of Illinois. b. Any dispute or claim arising from this Policy must be brought exclusively in the state or federal courts located in Chicago, Illinois. c. This Section does not apply to denied, suspended, revoked, or terminated applications by an issuing authority (see 22 C.F.R. § 22, Subpart E). d. If you wish to file a dispute, you may contact our billing office or your local consumer affairs agency for further guidance.
