COVA, the Chinese consulate's online visa application, takes whatever you type and says nothing until an officer opens it, usually a few business days later. If something is off, the application comes back marked "Rejected and to be modified" or "Supplementary materials to be provided," and the review starts over. We file China visa applications every business day at all five U.S. consulates, so we see those returns up close. Here are the twelve reasons we have seen recently, in the consulate's own words where we can quote them, with the fix for each. Names, dates and cities have been removed.
One thing first: a return is not a denial. "Rejected and to be modified" means fix this application and resubmit it. Starting a new one instead creates a different problem (reason 12). Every status label is decoded in our COVA status guide.
Your passport
1. The name on the application doesn't match the passport
What the consulate says: "modify according to the passport" against the name field (section 1.1).
Why it happens: a middle name left out, a married name, or given and family names typed into each other's boxes. COVA files against your passport, so the passport wins every disagreement.
The fix: type your names exactly as the two-line machine-readable strip at the bottom of the photo page prints them: family name in the family-name box, every given name in the given-name box, nothing abbreviated.
What our form checks: we compare the name you gave us with the name in your passport, at upload.
2. The passport itself: expired, or a photo of the page that can't be read
What the consulate says: "upload clear passport page," or a return naming the expiry date.
Why it happens: two separate returns with the same root. One applicant typed the details of a current passport but photographed the earlier one that had expired years before. Another's upload was too dark and tilted for the consulate's scanner to read the strip at the bottom.
The fix: China needs six months of passport validity beyond your trip and a blank visa page, so check the expiry before anything else. Then photograph the page flat, all four corners in frame, tilted a little away from any glare, and make sure the two lines of letters and chevrons along the bottom are sharp.
What our form checks: upload a photo of your passport page and we read it, then verify the number, birth date and expiry against the check digits printed in the passport itself, so you confirm rather than retype. If the passport in your photo has expired, we tell you before anything is filed. If the photo is too unclear for a scanner, we ask for another one now.
Your invitation letter
Tourist (L) applicants in the U.S. have not been required to provide an invitation letter since January 2024, though a few visa centers still ask for one. Business, work, study and family visas do need a letter, and the letter is where most returns come from. Our invitation letter guide has templates for each type; the four reasons below are the ones that come back.
3. The letter doesn't name you
What the consulate says: "your name on the invitation letter does not match with your passport."
Why it happens: a letter addressed to a company or a group, a nickname, or a spelling that differs from the passport by one character.
The fix: the letter must carry your full name exactly as your passport prints it, plus your passport number, date of birth and nationality. If any of those is off, have it reissued before you file.
What our form checks: we check that your invitation letter names you exactly as your passport does.
4. The letter's dates don't cover your trip
What the consulate says: "the letter's travel time is inconsistent with 6.1." Section 6.1 of COVA is your itinerary.
Why it happens: plans moved after the letter was written. Land on the 3rd with a letter that invites you from the 5th and the two documents disagree.
The fix: the letter's dates must contain your whole trip, arrival to departure. If your dates changed, get the letter reissued; do not shorten your itinerary to fit an old letter.
What our form checks: we check the dates on your letter against your travel dates.
5. The letter names a different city than your itinerary
What the consulate says: "inconsistencies between the itinerary and the admission notice (city you will stay)," and the same wording for business letters.
Why it happens: a student whose admission notice names the campus city while the itinerary lands somewhere else; a business traveler visiting two offices and listing only one.
The fix: the city on your letter must appear in your itinerary, ideally as a place you stay. If you will be there at all, add it as a stop with an address.
What our form checks: we check the city on your letter against the trip you described.
6. No company stamp on a business (M) letter
What the consulate says: "please provide a formal invitation letter with a seal."
Why it happens: Chinese companies stamp documents with a red company chop. A letter on letterhead with only a signature reads as informal to some posts, and New York is the strict one. Other consulates have accepted an unstamped letter, which is exactly why people are surprised when one comes back.
The fix: ask the inviting company to stamp the letter with its company seal and send a color scan. Our M visa guide covers what else the letter needs.
What our form checks: we look for the inviting company's stamp; some consulates return a letter without one.
7. A family (Q2) letter missing the inviter's details
What the consulate says: the letter must state the inviter's name, gender, date of birth and Chinese ID number. Q2 returns arrive with this wording almost word for word.
Why it happens: the relative writes a warm letter and attaches a copy of their ID card, assuming the copy covers it. It doesn't: the four items have to be written in the body of the letter.
The fix: have your relative rewrite the letter with those four items in the text, then attach the ID copy and proof of the relationship. Our Q1 and Q2 guide lists the full set.

Your travel history and your work
8. Travel history that doesn't match your passport stamps
What the consulate says: "the declared travel history does not match the uploaded entry and exit stamps; please re-upload the affidavit."
Why it happens: the consulate reads your declaration against the stamps in your passport, page by page. The usual miss is a transit. One applicant changed planes in the same country on the way out and on the way home, and logged it once: "more like a transit, that's why I forgot about it."
The fix: one line per entry, not per trip, including any layover where you passed through immigration. Sit with the passport open and work through every stamp before you answer.
What our form checks: the consulate compares your travel history with the stamps in your passport, and we tell you that before you answer. Changed planes somewhere on the way out and on the way home? That's two entries, and we ask.
9. No day-by-day plan (non-U.S. passport holders)
What the consulate says: "please provide your day-by-day travel plan or itinerary."
Why it happens: applicants filing on another country's passport are asked for things U.S. citizens are not: a dated day-by-day plan, proof of U.S. status, and a shorter window in which to apply. Nothing on the standard form warns you.
The fix: a list with one line per day, the city and what you are doing there, dated and signed. Green card holders will find the rest of the extras in our guide for permanent residents.
What our form checks: travelling on another country's passport? The consulate asks you for extra things, and we ask for them up front.
10. Work details that are too thin
What the consulate says: two versions. "Please provide a description of your job" after a one- or two-word answer, and "please upload a SIGNED statement explaining your current self-employment."
Why it happens: the consulate reads your occupation, and "Sales" or "Run things" is not enough for an officer who has to understand what you do. About one in three applicants is self-employed or owns a business, and for those the consulate wants a signed statement, not a job title.
The fix: two or three sentences: what the business does, what you do in it, and since when. Self-employed? Put that on a page with the date and your signature and upload it with the application.
What our form checks: the consulate reads your job description, and we nudge when a few words won't be enough. Self-employed? The signed statement the consulate asks for is drafted from your words and signed on screen.
The filing itself
11. A confirmation page that can't be handed in
What the consulate says: nothing in COVA. This one comes back at the counter, when the printed confirmation page that travels with your passport is missing something.
Why it happens: the page was cropped at the top, so the barcode or the name is gone, or, for the Washington, D.C. embassy, it was printed without the "Additional reminders from the consul" message open. D.C. expects to see that message on the page.
The fix: print the whole page with the blue "Passport to be submitted" status, the barcode and your name all showing. 12. A second application already pending
What the consulate says: "The current applicant already has an application pending. Please do not submit another application."
Why it happens: COVA allows one open application per person. A relative started one for you, an agency did, or you did on an earlier attempt and abandoned it. The new one is refused, and the old one may be sitting at a consulate you can't remember.
The fix: find the first application and either finish it or withdraw it. Our lockout guide covers the recovery, including the case where you don't know which consulate it went to.
What our form checks: the consulate allows one open application per person, and we ask early, because being early is the whole point.
What all twelve have in common
Not one of these is a judgment about your visa. Each is a mismatch between two documents, or a document that isn't there, and each was visible before the application was filed. That is the idea behind our form: every reason we have seen an application come back is now a check that runs before we file, and a specialist reviews the application by hand before it goes to the consulate. The checks warn; they don't certify, and consulates add new reasons over time. The consulate still makes every decision. What we've cut is the avoidable round trip.
